Aqua for All is an international foundation committed to catalysing a thriving water and sanitation economy across Africa and South Asia. Since mid-2019, Aqua for All is leading the “Making Water Count’’ programme in partnership with the Netherlands Ministry of Foreign Affairs. The programme aims to achieve higher impact and mobilise public and private investments for effective water and sanitation solutions for low- income households. Under this programme, we deploy grant funding – amongst others – in selected innovative, blended finance structures targeting local SMEs and financial institutions. Job summary

The position

We are looking for a Management Assistant
32 hours per week – based in The Hague, The Netherlands

We are looking for a proactive and English-speaking Management Assistant. You will initially support the Managing Director, and more generally the Management Team which consists of five members, each responsible for a different part of the organisation.

The Management Assistant provides essential support in the day-to-day operations of the Management Team and the organisation.

By coordinating and planning organisational tasks and meetings, you will contribute to an effective and efficient organisation. The Management Assistant is also responsible for the effective management of the Managing Director’s agenda and time. You are part of the People, Finance & Process team and report to the Lead People, Finance & Process. In collaboration with the Office Manager, you will be responsible for developing office and administrative routines to create a pleasant working environment for everyone.

Responsibilities

1. Meetings and Conferences

  • Coordinate and plan meetings.
  • Take minutes and follow up on actions.
  • Provide support to staff attending conferences.
  • Logging conversations and contacts made at conferences.
  • Supporting with travel arrangement.
  • Prepare presentation materials.
  • Organise organisational events, like farewells and team week.
  • Plan meetings and prepare meeting materials for supervisory board.

2. Administration and Reporting

  • Develop administrative and office routines.
  • Compile and analyse reporting materials, such as ISO and annual reporting.
  • Manage internal communications.

3. Time and Calendar management

  • Coordinate the agenda of the Managing Director.
  • Prepare supporting documents.

4. HR

  • Support recruitment and onboarding processes.

Job-responsibilities

Job requirements

  • Relevant Bachelor’s degree or vocational education.
  • Minimum of 2 years of relevant experience in an administrative or HR support role.
  • Proficiency in using Microsoft Office tools (Word, Excel, Outlook).
  • Strong organisational and time-management skills.
  • A proactive and service-oriented mindset.
  • Excellent written and verbal communication skills in English and Dutch.
  • Knowledge of basic IT problem solving is a plus.
